How does rostering work with Clever and ClassLink?
How Clever, ClassLink, and NYC DOE sync learners in, and what's locked for rostered organizations.
For: District IT admins and Transfr admins at rostered organizations
Transfr supports exactly three rostering providers — NYC DOE, Clever, and ClassLink. Once your organization is connected to one, learners, classrooms, and users sync in automatically, and several Dashboard controls behave differently than they do for a non-rostered organization. This article covers what changes and why.
Which rostering systems does Transfr support?
NYC DOE, Clever, and ClassLink. There is no generic SAML or SSO option and no other rostering provider — if your district uses a different system, it isn't supported today.
Why isn't there an "add integration" button on the Dashboard?
Clever and ClassLink are static connections. Once your organization is set up on one of them, it stays there — there's no self-service toggle in the Dashboard to add, remove, or swap a rostering provider. If you're looking for that control and can't find it, that's expected: it doesn't exist. Setting up a new connection or disconnecting an existing one is a conversation with Transfr, not something you configure yourself. Contact support to start or change a rostering setup.
When does rostering sync happen?
Sync runs automatically every 24 hours. The in-product copy reads "Sync will happen automatically every 24 hours." There's no manual sync-now control — if you've just made a change in your rostering system, expect it to reach the Dashboard on the next scheduled sync, not immediately.
Who can pause or resume rostering?
Pausing or resuming rostering is restricted to org-admins. If you're an Instructor or Reporter and need rostering paused, ask your org-admin or contact Transfr support.
Why can't I add learners in the Roster panel?
At a rostered organization, learners come from your rostering system, not from manual entry on the Dashboard. The Roster panel — where non-rostered organizations create learners with Template (.csv), Import (.csv), or Add Row — isn't the path for you. If a learner is missing, add or correct them in Clever, ClassLink, or NYC DOE, then wait for the next sync. The same is true for updating an existing learner's information.
Why are Product and Program hidden on a classroom?
For rostered organizations, a classroom's Product and Program fields are hidden and can't be edited from the Dashboard. If a classroom needs a different product or program assignment, that change has to happen in the rostering system first. It reaches the Dashboard on the next sync.
Why can't I archive or delete a classroom or user?
Archiving and deleting are turned off for classrooms and users at rostered organizations. You'll see a lock icon on the things you can't change. This isn't a permissions bug — rostered orgs manage classroom and user lifecycle in the rostering system, not the Dashboard. Remove or deactivate the classroom or user there, and the change carries over on the next sync.
If you have questions about what happens to classrooms or rosters at the end of a school year, contact Transfr support directly — that's a separate conversation from day-to-day rostering behavior covered here.
How do learners sign in at a rostered organization?
Learners at SSO and rostered organizations sign in with their SSO account rather than a Transfr username and password.
- Trek: see How do I access Trek using SSO? for the full sign-in flow.
- Train: username-and-password sign-in is disabled at rostered organizations. Learners use a Sim Pass to sign in instead — it's mandatory here, not optional.
